Summary The TakeABreak Booking Calendar is easy to use and flexible for your needs. You can manage every booking room by room, or you can just block dates by property or room-type. Dates go across the screen. Use the scroll bar at the bottom of the page to view dates further in the future. To see even more dates click the arrow above the last date to the right. Or you can select the month and year at the top left. Hover your mouse over things to see a little tip pop up. For example if you point to a booking it will show the booking's status. Your rooms are listed on the left, grouped by property and room-type. You can click on the + and - buttons to show or hide the rooms. The calendar on your listing will show your availability based on this calendar, if you are partially booked the calendar will only allow potential guests to select available rooms. Update: New Overview Calendar added A new Overview Calendar option has been added, it enables you to see 18 months availability in one glance and to block or unblock dates for the whole property for any of those dates. The Booking Calendar is still the best way to manage individual bookings or availability by room or room-type, but the overview calendar will be especially helpful for properties which are rented as a whole. More information... Book rooms To enter a booking drag your mouse from the arrival date to the departure date on the room you wish to book. Then enter the information about your booking and then click on 'next' to enter the guest contact details or 'finish' to add the booking without contact details. The only compulsory information is the booking surname and number of adults, although in most cases you'd want to put in much more detailed information. If a booking applies to more than one room click on the 'Select rooms...' button. Just tick the other rooms that this booking will occupy. Manage bookings Bookings on your calendar show light blue if no deposit has been paid, mid-blue if a deposit has been paid, and dark blue if paid in full. A darker border shows around bookings where there is currently an outstanding payment request. Click
on a booking to manage it. You can then manage any aspect of the
booking - edit contact information, add notes, view the history, check-in/out times, and more. To request a booking payment, click on the booking then click 'Request deposit payment...'. Type in the booking and deposit amounts then click 'send email' - this will open your normal Make Offer page to confirm the details then send. TakeABreak enquiries don't show on the calendar until they have been allocated to a room. This usually happens when you make an offer - you select the room on the Make Offer form. To add an existing booking to your calendar, click on 'Enquiries/Bookings', find the enquiry and click on 'select rooms...' to allocate the rooms for this booking, which will then show on the calendar (for more details see how to search bookings). To cancel a booking and remove it from your calendar, click on the booking then click 'cancel booking'. Note that you will still be able to find this booking by searching 'Enquiries/Bookings' with the 'cancelled bookings' option ticked. When you make an offer which then expires, the booking is automatically removed from your calendar. You can find it on the 'Enquiries/Bookings' page, by searching with the 'Cancelled' box ticked. You can add notes and view your notes by clicking on the 'notes' tab. This makes it easy to keep track of special requests and so on. The history tab shows you the history of actions on the booking. Block dates for property or room-type without adding bookings If all of the rooms of a room-type are booked but you don't wish to enter the bookings, you can block your calendar for this room-type. To do this, just select the dates along the line next to the room-type and click 'Block' to confirm. If your entire property is booked but you don't wish to enter the bookings, you can block your calendar for for the property. To do this, just select the dates along the line next to the property name and click 'Block' to confirm. This will then also block the calendar out on your TakeABreak listing for the same dates. Of course, if all rooms in a room-type or property are booked the calendar is automatically blocked and turns red for these dates.
